Key Duties/Responsibilities
- Perform administrative skills such as typing, filing, copying, faxing, sorting mail, coordinating appointments for the General Manager and answer telephones according to The Nautilus standards.
- Prepare written correspondence on behalf of the General Manager for approval.
- Act as the extended arm for the General Manager and actively involve and supports with other areas of the operations such as, Marketing and PR projects, special events, group buy outs, Festive celebrations, etc.
- Assist in maintaining meeting minutes, prepare action plans and conduct necessary follow up with the respective HODs as instructed by the General Manager.
- Assist in placing orders and managing BoHome inventory as directed by the General Manager.
- Supports the Public Relations department in maintaining collateral records, inventory and ordering of collaterals where necessary while ensuring that brand guidelines are followed at all times.
- Continuously works harmoniously with the General Manager in maintaining operational excellence. Responding to guests feedback and online reviews on TripAdvisor, Booking.com and other online channels.
- Prepares arrival cards for arrival guests and any other necessary welcome letters, correspondences, etc.
- Update and mange profile key-ins in Opera and efficiently handle the Opera reports. This includes data entry in the system, profile notes updates, etc.
- Handle travel arrangements and reservations for managers and VIP guests as and when required. This refers to booking requests from the Executive office.
- Comply with The Nautilus Work Rules and Standards of Conduct while maintaining the confidentiality of the Executive Office as set forth in the Team Member Handbook.
- Maintain a clean, neat and organized work area and file storage system.
- Work harmoniously and professionally with co-workers and supervisors alike.
- Complete all payroll records for proper signature as deemed necessary.
- Communicates any complaints brought up to her attention in coordination with the General Manager/ Executive Assistant Manager and informs as to action taken and follow up required.
- Maintain stationery supplies for the Office
- Lives, breathes and delivers The Nautilus mission, vision and brand DNA and ensures acts as a role model on behalf of the Executive Office so all team follow suit.
